Overview

All courses are offered free of charge but there will be a charge if you:

  • do not attend a course you have booked a place on
  • do not complete an E-Learning course

This is to maximise the availability and cost-effectiveness of our training programme.

If you can no longer attend the event, you must send an apology email to Multi-AgencySafeguardingTraining@southtyneside.gov.uk and copy in your manager.

If you are not able to email the us, your manager must let us know on your behalf.

You, or you manager, must let us know if you can’t attend at least 5 working days before the course. 

The SCP / SAB has the right to withdraw access to future learning opportunities to organisations who do not comply with the terms and conditions of this policy.

We do not recommend that managers or head teachers sign a large group of employees up for any training. Employees should be responsible for their own training.


If you cannot attend on the day of the course

If you cannot attend on the day of the course, your manager can offer a replacement to go in your place and there will be no charge.

You must let us know by emailing Multi-AgencySafeguardingTraining@southtyneside.gov.uk before the course begins.

Please note, you or your manager must send an email to Multi-AgencySafeguardingTraining@southtyneside.gov.uk, a phone call will not be accepted.


If you call in sick on the day of the course

If you call in sick on the day of the course, and a replacement can attend, your manager must let us know who the replacement will be by phoning 0191 424 6512 before 9.30am on the day of the course.

 If no replacement can attend, the charge will still apply. This must be followed up in writing with an email to Multi-AgencySafeguardingTraining@southtyneside.gov.uk.


If you have a period of long-term absence

If you have a period of  long‑term sick leave, managers must notify the Business Unit by email to Multi-AgencySafeguardingTraining@southtyneside.gov.uk  as soon as it becomes clear that the staff member cannot complete the training within the required timescales.

If this notification is not provided, or is provided after the course, the relevant non‑attendance charges will still apply.


Charges for not attending

  • Non-attendance at a full day training will be £50
  • Non-attendance at a half day training will be £25

Invoices will be issued to both Internal and External Agencies to recoup the relevant charges on a monthly basis.

Charges for not completing an e-learning course

There is a charge of £40 for any e-learning module that has not been started or finished in four weeks.

Training records and administration

The Safeguarding Business Unit runs multi-agency safeguarding training in South Tyneside.

It does not manage training records for partner organisations or their staff.

Partner organisations must:

  • keep accurate records of all safeguarding training, including e-learning
  • make sure staff have approval from their manager before booking training, following the Charges for Non-Attendance Policy
  • store attendance confirmations and certificates in their own systems
  • use their records to check compliance and plan updates or refreshers

The Business Unit will:

  • confirm non-attendance to individuals and / or their managers after each session, in line with charging processes
  • not provide attendance lists (past or future), certificates, or training records for other organisations
  • not share lists of future bookings or act as an admin service for partner agencies

Individual responsibility

Each person and their employer are responsible for keeping accurate training records and meeting safeguarding training requirements.


Cancellation Policy for Safeguarding Training Courses

Provider’s right to cancel

We reserve the right to cancel, amend, or reschedule any safeguarding training course at our discretion. While we endeavour to provide as much notice as possible if any changes occur, there may be circumstances where courses must be cancelled at short notice.

This approach aligns with current practice noted in our training programme, where courses may be cancelled “due to low registration or for any other reason.”

Reasons a course may be cancelled

Courses may need to be cancelled or rescheduled for reasons including, but not limited to:

  • Low registration numbers — for example, insufficient applicants to run the session effectively.
    Unforeseen circumstances affecting delivery, such as emergencies, venue issues, significant staff shortages, or last‑minute operational challenges.
    Staff illness or unavailability, where a suitably qualified replacement trainer cannot be sourced.
  • Changes in safeguarding priorities or service needs that require training resources to be redirected.
  • Adverse weather conditions or other events that prevent safe delivery of the training.

Notice of cancellation

Where possible, we will notify delegates as soon as the decision to cancel or amend the course has been made. Delegates will be offered an alternative date / time or advised on next steps.

Delegate Support

If a course is cancelled by us, no charges will be applied to delegates. Any non‑attendance charges only apply when a delegate cancels outside required notice periods, as outlined in the charging policy.
